Custom Software — ERP & CRM

Custom software built around your processes

Orders, jobs, clients, stock, invoices and reports in one system that mirrors how your company actually works — built for you, owned by you. Andrei Matcovschi, Automation Systems · Milan · Como · Italy & Switzerland.

The difference

Off-the-shelf makes you adapt. Bespoke adapts to you.

Pre-packaged suites are built for the average company — and yours isn't average. So you end up paying for modules nobody opens, inventing workarounds for features that almost fit, and keeping half the real process in spreadsheets on the side. After years building software for professionals, firms and SMEs across Italy and Switzerland, at Automation Systems we see the same pattern in every sector.

A bespoke system starts from the opposite end. We map how your orders, jobs and invoices actually flow — then Automation Systems builds exactly that, and nothing more. Every screen matches a step your team already performs, so training takes days, not months. And because the software follows your process, the repetitive parts can be removed entirely: that's the job of business process automation, which plugs straight into the system.

Six signs you've outgrown spreadsheets

  • The same data gets typed into two or three different places.
  • One "master file" holds the business together — and only one person understands it.
  • Files named Final_v7 travel by email, and nobody is sure which one is current.
  • You only trust a number after checking it by hand.
  • Quotes and invoices go out days after the work is done.
  • Nobody can state the real margin on a job without an afternoon in Excel.

If three or more sound familiar, the spreadsheet is no longer a tool. It's a risk.

Building blocks

The modules companies ask for most

Every system is assembled from the pieces your business actually needs — no filler, no dead menus.

Orders & quotes

From enquiry to confirmed order with a PDF quote in minutes. Statuses tracked, nothing retyped twice.

Jobs & projects

Each job with its hours, costs, documents and deadlines — and its real margin, visible at any moment.

Clients & contacts

One record per client: history, files, communications and open balances, shared by the whole team.

Inventory

Stock that updates on every movement, reorders below threshold and syncs with your e-commerce.

Invoicing

Invoices generated from orders or contracts, sent automatically, with payment reminders that chase for you.

Reporting

Sales, margins and cash in a live dashboard. The Monday morning report writes itself.

ERP

ERP: all departments, one system

When sales, warehouse, admin and management each live in a separate tool, your people become the integration: copying, exporting, re-checking. A custom ERP puts one database under the whole company. An order entered once flows to the warehouse, to invoicing and into the reports without anyone touching it again.

ERP / What changes

One entry, zero retyping

  • Order entered once, visible everywhere
  • Warehouse and invoicing update themselves
  • Management sees live numbers, not month-old exports

Fewer errors, faster days

CRM

CRM: no lead left behind

Most companies don't lose clients to competitors — they lose them to silence. A quote that never got a follow-up, an email answered a week late. A custom CRM captures every lead from web, email or phone into one pipeline and schedules the follow-ups itself, exactly like the systems in our real automation examples.

CRM / What changes

Every enquiry followed up

  • Leads from web, email and phone in one place
  • Follow-ups scheduled automatically
  • A quote-to-order rate you can finally measure

No client slips through

It connects to the tools you already use

A management system shouldn't ask you to throw away what works. Automation Systems integrates the new software with your accounting and e-invoicing, your e-commerce platform, email and calendars, WhatsApp, payment and banking exports — and imports the data from your current spreadsheets so you start with history, not an empty screen.

Cross-border setups are routine: from Como we work daily with companies on both sides of the border — see how we work with Swiss businesses.

You own the system. And you're never left alone.

No per-user licences that grow every time you hire. No vendor deciding which features you get next year. The software and the data are yours, hosted where you choose, and you keep a single point of contact after launch — our founder, Andrei Matcovschi — with the Automation Systems team behind him.

Support isn't a ticket queue: it's the team that built your system adjusting it as your business changes. That's how we've worked with companies for years.

Business Intelligence

Business Intelligence & executive dashboards

A management system produces numbers every day — most companies never look at them. We turn that data into decisions: executive dashboards fed directly by your management system, margin analysis by client, job or product line, and a Monday-morning report with sales, cash and open orders that writes itself. No exports, no spreadsheet gymnastics: the figures update on their own, and management reads them on any screen, any morning.

We build this Business Intelligence layer on top of the systems described above — and we build a lot of it, with a strong presence in finance, healthcare, construction and real estate, from independent practices to very large companies. See how it works in our real automation examples, or tell us which numbers you're missing today.

Frequently asked questions

Custom software, in practice

How long does it take to build a custom management system?

The first working module usually arrives in weeks, not months. We deliver in phases: you start using the part that hurts most — quotes, invoicing, job tracking — while the rest is built around it. Timelines are agreed in the proposal, before anything starts.

Can we keep our existing data and tools?

Yes. Spreadsheets and data from your old software are imported into the new system, and the tools that already work well — accounting, e-commerce, email — are integrated rather than replaced. You change only what is costing you time.

What happens after launch?

Your team gets trained, the system goes live, and support continues from there: fixes, adjustments and new modules as the business grows. The software and the data are yours — no per-user licences, no lock-in.

The analysis is free and without obligation: half an hour to map your processes and sketch the system that would run them for you.
