How to tell if a process can be automated

Thirty seconds of theory, then the examples. A process is a good candidate for automation when it meets three criteria:

  • It repeats. Same steps, same order, every day or every week. If someone in your company does it "every Monday" or "at the end of each month", it qualifies.
  • It follows rules. You could explain the decision to a new hire in one sentence: "if the invoice is seven days overdue, send a reminder". No judgement call, just a rule.
  • The data already exists. The information lives in your management software, your inbox or a spreadsheet — it just gets copied around by hand.

Where to start

Which one should you build first?

Not the most spectacular one — the most measurable one. Our rule of thumb after years of doing this: start where hours or money leak every single week.

For most companies that means recurring invoicing plus payment reminders, because the return shows up directly in the bank account within the first month. If your problem is leads going cold, start with the custom CRM and let your website feed it automatically. If your team drowns in operations — orders, documents, stock — start there.
